WELCA Dues Payment Instructions (ACH and Check Payments)
Automatic ACH payments
If you are enrolled in ACH payments, WELCA will automatically initiate your monthly dues withdrawal from the bank account you authorized. No action is required when you receive your invoice.
Invoices are sent in advance of the payment date for your records only. You do not need to click anything or submit payment separately. WELCA will initiate the transfer through Incredible Bank. There is no fee associated with ACH payments, even if a QuickBooks invoice mentions a processing fee.
To ensure uninterrupted payments, we must have a current ACH Permission Form on file for all owners using ACH. If you are currently paying by ACH or would like to begin using ACH, please complete the ACH Permission Form and return it with a voided check as instructed on the form.
Submitting ACH forms
You may return your completed form and voided check in either of the following ways:
By mail
WELCA
1965 Wild Eagle Lane
Eagle River, WI 54521
In person: Place your documents in an envelope and drop them in the secure drop box next to the WELCA office in the vestibule between the pool and the main lobby. **The front desk does not accept payments, checks, or paperwork on behalf of WELCA.
If you previously mailed a check: If you mailed a check but are enrolled in ACH, WELCA will process the ACH payment instead of cashing the check. The check will be voided and either securely destroyed or returned to you upon request.
Monthly billing schedule: Invoices are typically sent around the middle of each month for the following month’s dues; ACH withdrawals are initiated on or about the first of each month.
Late payments: If there is an issue with your ACH payment, please contact us as soon as possible so we can resolve it together. We understand that payment systems change over time and we will work with owners to address any transition issues.
Why ACH is encouraged: ACH payments are the most efficient and cost-effective method for the Association. They reduce administrative work, bank trips, and processing time, which ultimately helps keep operating costs lower for all owners.
Questions or suggestions: We appreciate your cooperation and welcome any feedback that helps improve WELCA processes or communication. Please contact the Board or management team with any questions.
